Put in your task, and break down the steps into individual tasks to make up the complete project. You can assign these steps to people or just have them broken down for yourself.
2. Delegate tasks where and when possible
This step is huge! Although we all like to think that no one can do it as well as we can (and that might be true!), but there are tasks that can be outsourced and done, allowing you to focus on the more important tasks.
If you don’t have staff, hire a Virtual Assistant, or use online resources. Just about anything can be outsourced these days. This is also very useful for tasks that you do not excel in. In this case, let the experts help you.
And remember, don’t micromanage – just do your due diligence on the final results. Micromanaging takes time away from the tasks you should be focusing on. If you hire someone to do the task or project, let them do it.
3. Take regular breaks
I know this one might sound strange, but you don’t do any good when you are tired and frustrated. Sometimes you can do more harm than good. You can’t focus, and you just spin your wheels. Just give yourself a little time out to refocus and recharge. This could be as easy as a coffee break or walking the dog, or larger like a weekend (or week!) away from the tasks that are overwhelming you.
Self-care is very important for your body and mental health! Slow down and breathe! Don’t get overwhelmed.
4. Use Technology if available

5. Focus on one task at a time – block your time for the best use of your time
This is huge! It can be so overwhelming and time-consuming to switch tasks.
The average person requires 23 minutes to refocus after getting sidetracked. This is because the brain needs to reactivate different areas whenever we change activities, no matter how small. For example, answering a colleague’s query while working on a report or stopping to answer each phone call or email as they come in. This requires you to turn off your phone and email in order to accomplish this – sending calls to voicemail for a bit.
Block your time for different activities. Schedule time to return the calls and emails – if your customers or clients are used to getting ahold of you on the first ring, make sure your voicemail reflects that you will contact them back within a certain time. Then make sure you do so. Don’t jump around from task to call to email and back to the task. Now I’m not saying customer service is not important, but make sure you do what is right for your business. Many businesses (but not all) can operate with this in place without issue. This might work better for a consultant than in a retail setting.
And remember, turn off distractions such as TV and social media too, at least when you are trying to focus on tasks. Even if it is business social media, it needs to be scheduled also, as it is easy to get distracted during this task. Trust me, I know!
6. Learn to say no without feeling guilty
You cannot be everything to everybody. If it is not a service or product you offer, then tell them that. Don’t waste time and resources on things you do not know or specialize in. Doing this wastes your time, and could result in a job not well done, hurting your reputation. Just say no, and move on to the job or projects you know well and can do well.
7. Know what you do and want to do – predetermine your focus
This may sound simple, but sometimes it is not. You can’t be everything to everybody (as stated above). Know what you want to sell, and stick to it. Also, know what works for you in your business, and stick to it. It is easy to run down a rabbit hole trying to make things work that just won’t. Don’t waste the time and effort trying to see if you can do what you don’t specialize in. By predetermining your path, you won’t waste time looking at options that will not benefit you.
8. Plan your day
Yes, I know the best-laid plans… but do try to plan your day out at the beginning of the day. It will help you stay on focus and be more productive.
If you have to spend part of your day waiting on something – such as a doctor’s appointment? Then schedule something you can do during this time, such as catching up on correspondence or reading something you haven’t been able to get to because you are too busy.
9. Focus on your biggest and most important task first
Studies show that if you have a task that is large and overwhelming that you are procrastinating on, it will slow you down on everything else. Just bite the bullet and get it done at the beginning of the day. You will feel great about it, and with that positive attitude, your other tasks will get the attention they deserve.
10. Schedule your tasks according to energy
Studies show that you have the most energy and focus typically 2 1/2 after you wake up. So schedule your most important projects then. You will find that you get through them faster with higher energy and focus.
11. Not sure where your time is going?
Then start a time diary. Keeping track of where you are spending your time and on what will help you to determine if you are wasting time or being productive. Include all tasks, even if not work-related.
Then make sure you go back and look at it to determine where you are working efficiently and where you see time being wasted. Just seeing it will help you work more efficiently in the future.
12. Make a list and get it out of your head
All of us at one time or another lay awake at night remembering what we need to do. Put a notepad beside your bed and write it down so you can go back to sleep! This goes for during the day too. Writing it down gets it out of your head so you can focus on what you need to. Now if we could just figure out how to write down those awesome ideas we get in the shower!
